We are seeking an experienced, tech-savvy, proactive and highly organized administrative professional who will provide support to our Acquisitions, Development, and other teams, as needed. Success in the role requires the ability to go beyond what is expected, quickly learn new skills, embrace challenges, think creatively and communicate effectively. The ideal candidate will have prior experience in office management, will be able to handle details of a highly confidential and critical nature and the ability to interact comfortably and skillfully with executives inside and outside the company. We offer a hybrid work environment – (2) days working from home and (3) days in the office until further notice.

Primary Duties

  • Support our Acquisitions and Development teams in all related administrative tasks including travel arrangements, expense reports and calendar management
  • Effectively prepare and administer contractual documentation to support the successful and timely completion of acquisition and development projects
  • Assist in office management tasks such as supply procurement, invoice coding, office subscription services tracking and handling special projects, as requested
  • Assist office IT liaison working with our IT consultant and maintaining office technology functionality
  • Efficiently maintain our contact database and prepare insightful reports that support our organization’s goals and decision-making processes
  • Successfully coordinate internal and external resources to optimize workflow, ensuring tasks such as compiling reports, copying, filing, and scanning are handled efficiently leading to better productivity and smoother operations

Skills & Qualifications

  • Capable of working both independently and collaboratively with a positive, supportive style and a “can do” attitude, acting with the highest level of integrity
  • Excellent written and verbal communication skills; able to interact with all levels of staff with a high level of professionalism and confidentiality
  • Ability to prioritize tasks, handle multiple projects simultaneously, manage deadlines, and complete tasks with minimal direction ensuring tasks are completed on time
  • Advanced-level experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook and MS Teams); willingness to learn new software and systems
  • Ability to maintain accuracy, exercise initiative and use impeccable discretion when working with sensitive company and personal information
  • Experience in an executive assistant and/or office management role a must
  • Experience in industrial real estate or similar professional services environment a plus
